I.       The Basics

Condonexus Inc. (Condonexus”, we, our or us) takes the privacy of our users, clients, and website visitors (you or your) seriously. This privacy policy (the Privacy Policy) describes what and how information and data about you are collected, used, and shared when you (i) visit, submit a form, or make a purchase on condonexus.com and all associated sites linked to condonexus.com (collectively, the Sites), or (ii) interact with us throughout the provision of our service to you.

 

II.     Privacy for Clients

This section discusses the Personal Information that we gather and process when you interact with us throughout the provision of our service to you. In this section, “you” and “your” refer to our Clients.

Section II.1: Personal Information We Collect

The Personal Information we collect and process depends on the context and type of your interactions with Condonexus, and the scope of services and products we provide to you. However, this Personal Information can be broadly divided into two main categories:

1.1   Information we collect automatically (“Device Information”):

When you and condo unit owners use our products or services, we automatically collect certain information about your and condo unit owners’ device, including information about web browser, IP address, time zone, and some of the cookies that are installed on the device.

We collect Device Information using the following technologies:

“Cookies” are data files that are placed on your device or computer and often include an anonymous unique identifier. For more information about cookies, and how to disable cookies, visit https://www.allaboutcookies.org.

“Log files” track actions occurring on the Sites, and collect data including your IP address, browser type, Internet service provider, referring/exit pages, and date/time stamps.

“Web beacons”, “tags”, and “pixels” are electronic files used to record information about how you browse the Sites.

If you or your condo unit owners do not agree to provide consent for us to automatically collect your Device Information, please do not use our products or services.

1.2   Information you provided to us (“Provided Information”):

You, your company, condo corporation, or condo unit owners may provide certain Personal Information to us when we provide our services and products to you. This information may include:

(i)              Your business contact information such as your name, job title, organization, location, phone number, email address, and country;

(ii)            Log-in credentials such as email address or username and password you use to log in to our management dashboard;

(iii)          Information related to the condo corporation and condo unit owners including but not limited to name, location, phone number, email address, country, any materials that you would like us to distribute to unit owners, voting instructions and decisions, content of chats and discussions during virtual meetings;

(iv)          Troubleshooting and support data which you or condo unit owners provide or we otherwise collect in connection with support queries we receive from you or condo unit owners. This may include authentication data or contact details, the content of chats and other communications with us, and the product or service you are using related to the help inquiry; and

(v)            Payment information including chequing account numbers, credit card numbers and associated identifiers and billing address.

Section II.2: Do Not Track

Please note that we do not alter our data collection and use practices when we see a Do Not Track signal from your browser.

Section II.3: How Do We Use Your Personal Information?

We may use your Device Information and Provided Information only for our legitimate business reasons as listed below:

(i)              Respond to your or unit owners’ inquires and requests, and provide you with our products and services;

(ii)            Monitor potential risk and fraud (in particular, your IP address), and more generally to improve and optimize our products and services;

(iii)          Learn more about your product preferences and business needs through your usage of our products and services.

 

III.  Privacy for Site Visitors

This section discusses the Personal Information that we gather and process when you visit, submit a form, or make a purchase order on the Sites. In this section, “you” and “your” refer to Site Visitors.

Section III.1: Personal Information We Collect

Personal Information in this section of the Privacy Policy includes both about Device Information and Form Information as described below:

1.1   Information we collect automatically through the Sites (“Device Information”):

When you visit the Sites, we automatically collect certain information about your device, including information about your web browser, IP address, time zone, and some of the cookies that are installed on your device. Additionally, as you browse the Sites, we collect information about the individual web pages or products that you view on the Sites, what websites or search terms referred you to the Sites, and information about how you interact with the Sites.

1.2   Information you voluntarily provide to us (“Form Information”):

The Sites offer you various ways to contact us, such as through form submissions, email or phone, to inquire about Condonexus and our various products. We may ask you to provide certain information about you or your company when you would like to obtain information about us or our products, subscribe to newsletters and marketing materials, express your interest in joining our team, or contact us for any other reasons. We may also collect information from you via your in-person meeting, phone call, or any other electronic communication with our account managers, customer support members, or any staff members of Condonexus. You may choose to provide your information when you communicate with us or otherwise interact with us, and we may keep copies of any such communications for our records. By voluntarily providing us your Form Information, you have given us your consent to store and use the data in accordance with applicable law and this Privacy Policy.

Section III.3: How Do We Use Your Personal Information?

We may use your Device Information and Form Information only for our legitimate business reasons as listed below:

(i)              Respond to your inquires and requests, and provide you with the information and resources related to our Company and products that you have expressed your interest in;

(ii)            Monitor potential risk and fraud (in particular, your IP address), and more generally to improve and optimize our Sites (e.g. to understand how our customers browse and interact with the Site, and to assess the success of our marketing and advertising campaigns through non-identifying and aggregate analytic insights); and

(iii)          Learn more about your product preferences and business needs through your interactions with the Sites.

 

IV.  General Information

Section IV.1: Sharing Your Personal Information

We do not sell, rent or share your Personal Information in personally identifiable form with any third party, except for the purposes and with the parties listed below on a need-to-know basis:

(i)              We use Google Analytics to help us understand how our customers use the Site. (ii)            Our third-party vendors to the extent necessary to complete your or unit owners’ inquiries or requests, and provide you with our products and services; and

(iii)          Any competent law enforcement body, regulatory body, government agency, court or other third party where we believe the disclosure is necessary to (a) comply with applicable laws and regulations; (b) respond to a subpoena, search warrant or other lawful request for information we receive; (c) protect our legal rights or defend against legal claims; (d) protect your vital interests or those of any other person in the events of, but not limited to, illegal or prohibited activities, suspected fraud, breach of safety or privacy laws; or (e) as otherwise required by law.

Section IV.2: Data Retention

We only retain Personal Information where we have an ongoing legitimate business or legal need to do so. Our retention periods are generally determined by the type of data involved and these criteria outlined below:

(i)              Whether we need to retain the data to fulfill our legal or contractual obligations;

(ii)            Whether we require the data to provide you with our products and services;

(iii)          Whether you have the ability to remove the data yourself through your access to our platform; and

(iv)          Whether you would reasonably expect that we would retain the data until you remove it or until our business relationship is ended.

When we have no ongoing legitimate business need to retain or process your Personal Information, we will either delete or anonymize it. If we cannot readily delete your Personal Information (for example, because your Personal Information has been stored in backup archives), then we will securely store your Personal Information and isolate it from any further processing until we can delete your information.

Section IV.3: Your Choice About Your Personal Information when Using the Sites

You are not required to register or provide any Form Information when you use the Sites. If you choose to submit a form through the Sites, we will maintain your Form Information for our records unless and until you contact us to delete or amend this information. If you have subscribed to our newsletters or marketing materials, you can opt out of receiving those at any time by clicking the “unsubscribe” link at the bottom of our messages.

You can choose to inform us of your decisions, consents or inquires related to your Personal Information by email at contact@condonexus.com. Before completing your requests or providing you with any Personal Information, we may ask for additional information from you to confirm your identity. If you are not able to provide sufficient proof of your identity, we reserve the right to refuse your requests or inquiries.

Section IV.4: Security

At Condonexus, we treat security seriously. We take appropriate and reasonable organizational, technical and administrative measures to protect data under our control from misuse, loss, unauthorized access, disclosure or alteration. We continue to monitor and improve our security procedures according to the advancement of available technology. However, no data transmission over the internet or data storage system can be guaranteed to be completely secured. Section IV.5: Changes to This Policy

We may update this privacy policy from time to time in order to reflect changes to our practices or for other operational, legal or regulatory reasons. We will post an updated version on the Sites, and all updates and amendments are effective starting from the effective date that appears at the top of this Privacy Policy. We encourage you to visit our Sites frequently to review this policy and check the effective date to know whether our Privacy Policy has changed.
